Junior Administrative Professional (Event Management)

As an international cooperation enterprise for sustainable development with worldwide operations, the federally owned Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the German Government in achieving its development-policy objectives.

The GIZ programme ‘Support to the East African Integration Process‘ is currently looking to fill the position of Junior Administrative Professional (Event Management)

Duty station: Arusha

Terms of the Contract: Fixed term contract

Responsibilities:

The Junior Administrative Professional (Event Management) is responsible for the coordination and logistical implementation of events, seminars and conferences of the GIZ Programme in Arusha and for the smooth running of the day-to-day office routine.

Tasks
He/she
• organises and coordinates logistical aspects for planning, holding and documenting meetings, workshops, seminars and other events
• liaises with the regional offices to ensure that tickets, boarding passes and travel claims are forwarded and handled timely and according to GIZ orientations
• ensures that events are supplied with the required materials and media (information leaflets, writing material, ID badges, …);
• keeps a register of service providers and collects information on client satisfaction with the service provided;
• arranges programs for visitors, makes travel arrangements such as booking tickets, flights, hotel reservations, transport etc.;
• handles telephone calls and receives visitors/suppliers and directs them to the officer in charge;
• assists in and/or carries out other office duties and tasks, as assigned.

Required Entry Qualifications and Competencies
• Bachelors Degree in Business Management and/ or Secretarial Services and/ or a Diploma in Secretarial Services, Business Administration/Management/Human Resource;
• At least 3 years’ professional experience in the field of Event Management, office management or similar;
• Very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office);
• Very good knowledge of English, ideally knowledge of German;
